The Banking transactions page gives you an overview of all the financial movements in your accounts. It is the main tool for reconciliation, i.e. linking each transaction to a corresponding invoice or credit note.
1. Transaction overview
When you arrive at this page, you'll see a list of all recent transactions in your accounts.
Filters: At the top of the list, you can filter transactions to show only Unlinked or Linked transactions. This helps you focus on the transactions that need your attention.
Table columns: Each transaction is presented with key information:
- Date: The date on which the transaction took place.
- Counterparty: The name of the person or company associated with the transaction and their bank number.
- Communication: The wording or reference of the payment.
- Amount: The amount of the transaction.
- Status: Indicates whether the transaction is Linked or Unlinked to a document.
Links : The number of documents (invoices, credit notes) linked to this transaction.
2. Linking a transaction to an incoming or outgoing document (reconciliation)
The reconciliation process, also known as lettering or bank reconciliation, is simple and takes just a few steps:
Click on the Links button: On a transaction line, click on the Links button (the chain icon) to open the reconciliation screen.
On the reconciliation screen, click on the Link invoice... (for sales invoices), Link a credit note... (for sales invoices) or Link an incoming document... (for purchase invoices).
Find the corresponding invoice : A new window appears with a list of your unpaid sales invoices. You can use the search field or date selectors to quickly find the invoice you wish to link.
Confirm link: Once you've found the invoice, click on Link on the corresponding line. The system takes you back to the reconciliation screen, and the invoice is now displayed as linked to the transaction.
If the transaction amount and invoice amount are identical, the transaction balance will be Balanced. If the transaction amount is higher or lower, the balance will be Over-allocated if the payment is higher than expected, or Under-allocated if it falls short of the amount requested. Of course, the documents concerned are noted as paid as soon as they have been linked to a transaction. They can also be viewed in PDF mode using the eye icon, or in detail using the square. The red icon in the shape of a crossed-out link allows you to remove the association if you find that it was incorrect.
