Quotation management

Quotation list

This page gives you an overview of all the quotations you have created. You can view their status, dates and basic information at a glance.

1. Search and creation

  • Search bar: At the top of the table, you can use the search bar to find a specific quote by typing its name, the customer's name, or its amount.
  • Add quote" button: The purple button at top right lets you create a new quote. (See below)

2. Quotation table

The main table lists all your quotations with the following information:

  • Date: The date the quote was issued.
  • Status: The current status of the quote, for example:
    • Accepted: The quote has been accepted by the customer.
    • Pending: The quotation is currently being processed by the customer.
  • Quotation name: The title you have given to the quotation.
  • Customer: The name of the company or person to whom the quotation has been sent.
  • Amount excl: The total amount of the quotation excluding taxes.
  • Sent: Indicates whether the quote has been sent to the customer by e-mail.
  • Expires on : The expiry date of the quote's validity.

Quote creation

This page enables you to create a new sales quotation. It is divided into several sections to guide you through the process, from basic information to product and service details.

1. Basic information

This first section groups together general information about the quotation.

  • Customer : The name of your customer. You can select it from the drop-down menu.
  • Quotation name: A title for the quotation.
  • Layout: Select a pre-defined layout template.
  • Quotation date: The date on which the quotation was issued.
  • Quotation valid until: The date on which the quotation expires.
  • Contact person: The name of the customer's contact person.
  • Order number: The order number if applicable.
  • Payment terms : Proposed payment terms.
  • Currency: The currency used for the quote.
  • Introductory text: This text will precede the quotation when it is sent. You can create text templates which can then be used to speed up the drafting of the text by adapting it to particular circumstances.

Import existing quote" button: Allows you to reuse information from a quote you've already created to create a new one.

2. Products and services details

This section allows you to list the items included in the quote, following the same model as for invoices.

  • Add a product or service: Click on the "+ Add" button to add a new line.
  • Table columns :
    • Description: The name of the item, service or product.
    • Quantity: Number of units.
    • Price excl. VAT: The unit price excluding VAT.
    • Subtotal: Calculated automatically (Quantity x Price excl. VAT).
    • Discount / Charge: To apply a discount or charge to the line.
    • Total: Line total after discount/charge.
    • VAT: Applicable VAT rate.
  • Add global discount/charge: Allows you to apply a discount or charge to the total amount of the quote.

3. Attachments and notes

  • Attachments : This section allows you to add relevant documents (e.g. general terms and conditions) by clicking on "+ Add file".
  • Notes : A free text field where you can add additional information for the customer, e.g. specific conditions or verbally agreed details.

4. Page actions

  • Cancel" button: Cancels quote creation.
  • Preview" button: Previews the final quotation before saving it.
  • Save" button: Saves the estimate in your system without sending it.
  • Save & Send" button: Saves the quote and sends it by e-mail to the customer.
